Spanish Digital Certificate: The Free Online ID Every Mallorca Owner Should Have
The Spanish digital certificate is a free electronic ID issued by the FNMT, the Spanish Royal Mint. Anyone over 18 with an NIE can get one after a single in-person identity check. It lasts four years and works with the tax agency, Social Security and most public bodies.
Ask anyone who has owned property in Mallorca for a few years and they will tell you the same thing: life gets much easier once you have the certificado digital. Paperwork that once meant a morning in a queue, or a fee to a gestor, becomes a few minutes at your own desk, whether you are in Santa Ponsa or at home in London or Düsseldorf. Here is what it is, how to get it and what owners actually use it for.
What the Digital Certificate Is
The certificate is a small file installed in your web browser that proves who you are online. It contains your digital identity and lets you sign documents electronically with full legal validity. The version most owners need is the Certificado de Persona Física, the personal certificate, issued by the Fábrica Nacional de Moneda y Timbre (FNMT-RCM).
It costs nothing and is valid for four years. Any Spanish citizen or foreign national who is of age and holds a DNI or an NIE can apply, so non-resident owners with an NIE qualify as well as residents.

How to Get It in Four Steps
The official process has four stages: setting up your computer, applying online, proving your identity and downloading the certificate.
1. Prepare your computer. The FNMT asks you to install its free key-generation software before you apply. Use a computer you will keep, because the certificate is created on that machine.
2. Apply online. On the FNMT website, choose the personal certificate and enter your NIE, surname and email address. You receive an application code by email.
3. Prove your identity. Take the code and your original documents to an accreditation office, such as an office of the Agencia Tributaria or Social Security, usually with an appointment. Foreign nationals bring the document showing their NIE, such as the residence card or EU registration certificate, together with their passport. An official checks your identity and approves the request.
4. Download it. You then receive an email with a download link. The download must be done on the same computer and browser you used to apply. Allow roughly an hour after the identity check before downloading.
There is also a video identification option for people who cannot attend in person. The certificate itself stays free, but the FNMT charges 2.99 euros plus tax for the identity review in that route.
What Mallorca Owners Use It For
The certificate is recognised by the Agencia Tributaria, Social Security and most Spanish public bodies, which covers almost everything a property owner deals with. In practice, owners use it to file and check tax returns with the Agencia Tributaria, including the annual return non-residents file on property they own; to view and pay local taxes such as the IBI online; to request certificates and records without visiting an office; and to sign official documents electronically.
For residents, the same certificate opens the door to Social Security and healthcare procedures, which our guide to IB-Salut covers. For owners thinking about the annual property tax bill, our article on the IBI explains what you pay and when.
Renewing After Four Years
The personal certificate lasts four years. When fewer than 60 days of validity remain, you can renew it online from the FNMT website without another visit to an office. If your certificate was originally obtained by video identification or has already been renewed once, the FNMT can ask you to prove your identity again before issuing a new one, so put a reminder in your calendar well ahead of the expiry date.
Companies and Representatives
If your Mallorca property is held through a company, the personal certificate does not make you its legal representative online. A separate representative certificate is needed for that, and those are issued with a validity of two years. Owners who hold property personally, which is the most common arrangement among our clients, need only the personal certificate.
Cl@ve: the Alternative
Spain also runs Cl@ve, a government login system based on a PIN or a permanent password. It works for many procedures and is simpler to set up for some people, but the digital certificate remains the most widely accepted option and is the one that lets you sign documents electronically. Many owners end up with both.
Why It Matters When You Buy or Sell
For buyers, getting the certificate soon after receiving your NIE makes the months after completion far smoother, from registering on the padrón to setting up direct debits and checking that the IBI has been transferred into your name. Our articles on opening a Spanish bank account and registering on the padrón cover the other early steps. For sellers, especially those who live abroad, it means tax paperwork after the sale can be handled without travelling back to the island.
